Fee setup
Configured once a year: fee categories (Tuition, Bus, Hostel, Deposit), fee structures per class, installments with due dates, late-fee policies, bank accounts and receipt numbering.
The module that handles real money — from deciding what a class pays, to collecting it at the desk or online, to printing a receipt and tracking every rupee. A school sets its fee plan once a year, assigns dues to students, and the system follows the money all the way to the reports an accountant lives by.
Fees flow in four steps: a school sets up what each class pays, assigns those fees to students as dues for the year, collects payment at the desk or online, and a numbered receipt is issued. Around that core sit concessions, refunds, automatic reminders, and live reports — so dues, fines and balances are always worked out for you, never tallied by hand.
Crucially, the school owns all of it. Our own team can never see or touch a school's fees — not the amounts, payments, refunds, or the payment-gateway keys. Inside the school, the admin can let specific staff handle specific fee screens, such as an accountant who can only collect.
Configured once a year: fee categories (Tuition, Bus, Hostel, Deposit), fee structures per class, installments with due dates, late-fee policies, bank accounts and receipt numbering.
A structure is just a plan; assigning it turns it into a student's actual dues against their enrolment. Optional categories like Bus are opt-in, and unpaid dues can carry forward to the new year.
Discounts and scholarships — scholarship, sibling, staff-ward, hardship — go through an approval flow. Only an approved concession reduces the balance, with a record of who approved it and why.
Staff record a payment by any method — cash, UPI, card, cheque or bank transfer. One payment can be split across several installments, partial payments are fine, and cheques are tracked to clearance.
Parents pay from the app by UPI, card or net-banking through the school's own gateway — currently Razorpay. Money goes straight to the school's account, with the payment verified twice and never double-counted.
Every payment produces a receipt with a unique, sequential number per school and financial year. Receipts print in the school's chosen layout, can be voided with a reason, and support duplicate copies.
Returning money safely — an overpayment, a withdrawal, or a refundable deposit. Refunds can be partial, are allocated back against the right dues, can never exceed what was paid, and are kept for audit.
The system always knows a student's live balance: dues, minus approved discounts, plus any late fee, minus what's paid. Late fees grow only after the due date and grace period, up to an optional cap.
A scheduled daily job reminds parents of due fees by SMS, app push, in-app notice and email — with quiet hours and a daily cap as guardrails, and it never sends the same reminder twice.
The accounts office gets daily collection, a live dues list, defaulters, age-bucket ageing, registers, and a printable fee card per student — instead of a manual ledger.
The school's fee structure is assigned to the class, so each student already owes their installments against their enrolment for the year.
At the desk, staff enter an amount and method; online, the parent taps Pay in the app and pays by UPI, card or net-banking through Razorpay.
The system spreads the amount across the chosen installments, noting who collected it and into which bank account. Online payments are verified twice before recording.
A unique, sequential receipt number is generated and the receipt is produced — printed at the desk or shown instantly in the app — and the live balance updates.
Because every balance is computed live, the office and the parent always see the same, current number — no manual tallying. The accounts office gets a live dues list, a daily collection summary, and a printable fee card per student, and payment-gateway keys are stored encrypted with the secret half never shown again after saving.
On the gateways: online payment is live today through Razorpay. Cashfree, PayU and PhonePe are planned, not yet live.
